Gym lead follow up script: what to say on a call and on WhatsApp

A gym lead follow up script gives your desk the exact words for each stage: the first call, the message after a visit, the no-show, the price question and the "not now". Call within a day, say who you are and why you are calling, ask one question and agree the next step with a date. The scripts below cover all of that in English, with a short Hinglish version at the end.

Most enquiries do not fail because the person said no. They fail because no one called back. A script is not about sounding scripted. It is about not forgetting what to say when the phone rings and the desk is busy.

Each template below is meant to be adjusted to your own voice.

The rules behind every script

  • Call or message within 24 hours. Same day is better.
  • Say who you are first. Name, gym, and why you are calling.
  • Ask one question at a time.
  • End with a next step and a date. "I will call on Thursday" or "Come on Saturday at 6".
  • Write it down. The note and the next date matter more than the call.

Script 1: the walk-in who did not join

Same day, by WhatsApp:

Hi {name}, this is {trainer or desk name} from {gym name}. Thank you for visiting today. I have noted that you were looking at {plan}. Any question I can answer? Happy to arrange a free trial day this week.

Next day, by call:

Hello {name}, this is {name} from {gym name}. You visited yesterday and asked about {plan}. Did you get a chance to think it over? Is there anything that is stopping you, like timing or price?

Script 2: the phone or message enquiry

Hi {name}, thanks for your enquiry about {gym name}. May I ask what you are looking for: weight loss, muscle gain, or general fitness? That helps me suggest the right plan.

Listen, then offer a visit: "Would Thursday evening or Saturday morning suit you better?" Offering two choices makes a booking more likely than an open question.

Script 3: the no-show

Hi {name}, we had expected you today at {time}. No problem, things come up. Shall we fix another time this week?

Do not scold. People who miss a first visit are often nervous, not uninterested.

Script 4: after a trial

Hi {name}, how did the trial feel? Is there anything you would change? If you would like to start, I can hold the {offer} for you till {date}.

Script 5: the price objection

I understand. May I ask what you were expecting? Let me show you the {longer plan}, which works out to ₹{per month} a month, and you can pay in two parts.

Do not argue about price. Move the conversation to value and the per-month cost of a longer plan.

Script 6: "not now"

No problem, {name}. I will note it and message you after {date}. If your situation changes before then, you are always welcome.

Then do exactly that. A kept promise to follow up is what turns a no into a yes later.

A short Hinglish version

For members who speak in Hindi and English, keep it simple and warm.

Hi {name}, main {name} bol raha hoon {gym name} se. Aap kal aaye the, kaisa laga? Koi sawal ho to bataiye, main help karta hoon. Is hafte ek free trial din rakh sakte hain.

Hi {name}, aapka plan kal khatam ho raha hai. Renew karna ho to desk par aa jaiye ya UPI se pay kar dijiye. Koi problem ho to batana.

Keeping the notes

For each lead, record the date, the name, the number, what they asked, the plan they looked at and the next follow-up date. When the follow-up happens, add a dated note and a new date. A shared list that shows today's follow-ups, such as the gym CRM, makes sure no one is forgotten when the desk changes.

What to measure

  • How many enquiries you got.
  • How many were followed up within a day.
  • How many visited.
  • How many joined.

Handling the common objections

"It is too far." Ask what time they would come and offer the plan that suits that timing. If the distance is real, say so kindly and leave your number: "That is fair. If your plans change, we are here."

"I do not have time." Offer a short routine. "Many members train three days a week for 45 minutes. Would that fit your day?" A concrete, smaller commitment is easier to accept than "come every day".

"I am trying another gym." Do not criticise. Ask what they liked about it and invite them to compare: "Do try it. If you want to see ours before deciding, come for a free day."

"I will think about it." Agree and name a date: "Of course. May I message you on Friday?" Write the date and keep it.

Questions owners ask

How soon after a visit should I call?

The same evening by message, and the next day by call. Waiting a week signals that you were not that interested.

How many follow-ups before I stop?

Three to five over a month, spaced out, is reasonable. After that, move them to a "later" list and message occasionally, perhaps once a month with a useful offer or event.

Who should make the calls?

The person whose name the lead already knows: whoever showed them around. A trainer or manager calling feels personal. If the desk team does the calls, give them the same script so the voice stays consistent.

Is WhatsApp enough, or must I call?

Use both. A message is easy to answer, and a call gets objections and decisions out in the open. Alternate between them.
